Why generic estimates fail

A condominium and a detached villa with a pool, garden and several air-conditioning units do not have the same cost profile. Occupancy, distance from the sea, age, build quality, rental turnover and whether the owner lives abroad all matter.

Build the budget in five layers

1. Fixed obligations: property tax, long-lease canon where applicable, HOA contributions, insurance and basic connectivity.
2. Recurring service: pool, garden, pest control, cleaning, security and property management.
3. Preventive maintenance: air-conditioning, coatings, seals, pumps, drainage and electrical checks.
4. Planned replacement: appliances, air-conditioning units, pool equipment, outdoor hardware and furniture.
5. Contingency: leaks, storm damage, access failure, guest damage and urgent contractor work.

Use a property-specific worksheet

List every asset with quantity, age, last service, likely replacement window and current quote. Obtain at least two comparable written proposals for major recurring work. Record what is included—chemicals, call-outs, parts, tax and after-hours attendance can change the apparent price.

Costs remote owners often miss

• Inspection visits while the house is empty
• Keyholding and contractor supervision
• Emergency call-out minimums
• International transfer and payment costs
• Frequent air-conditioning use for moisture control
• Travel or accommodation during major work
• Small corrosion failures that accumulate
• Booking-platform and turnover costs for rentals

A better annual process

1. Start with the previous 12 months of invoices and utility use.
2. Separate routine, replacement and one-off improvements.
3. Add known work due in the coming year.
4. Request refreshed quotes for the largest items.
5. Fund a contingency that can be accessed locally.
6. Review quarterly against actual spending.

Compare like with like

The cheapest monthly proposal may exclude chemicals, materials, emergency attendance or reporting. Compare scope, frequency, response time and documentation—not only the headline price.
